Staff Attendance and Payroll: Moving Away from Handwritten Registers

Paper attendance and hand-made salary sheets lead to arguments and mistakes. Here is how to make them simple and fair.

Every month, someone sits down with an attendance register, a calculator and a list of advances to prepare salaries. It takes hours, mistakes creep in, and an employee questions a deduction a month later. Moving attendance and payroll into software removes most of that work and most of the arguments.

What goes wrong with paper

What a good system covers

  1. Staff records. Name, joining date, role, salary and contact details in one place.
  2. Daily attendance. Present, absent, late and leave, marked quickly.
  3. Leaves and holidays. Rules applied consistently for everyone.
  4. Advances and deductions. Recorded when given and settled automatically in the salary.
  5. Overtime. Calculated by the rules you set.
  6. Salary sheet. Generated for the month with a clear breakdown for each person.
  7. Payslips. A simple slip so each employee can see how the amount was reached.

Fairness through clarity

Most salary disputes come from not knowing how a number was reached. When every employee can see attendance, deductions and overtime in a clear slip, questions drop and trust grows.

Set the rules before you start

Software follows your rules, so decide them first:

Write them down and share them with staff.

Keep it private

Salary information is sensitive. Make sure only the right people can see it, and that the system keeps a record of changes.

From our experience

For a car wash and spare parts business in Faisalabad, we included HRM together with billing, inventory, purchasing, expenses and reports, so staff records and salaries sit in the same system as the rest of the business.

If you would like staff records and payroll to take minutes instead of days, see FlitHRM, or contact us to discuss your needs.
