What to Check in a Software Vendor Before You Sign
The software matters, but so does the company behind it. These questions help you avoid trouble later.
Choosing software is also choosing a partner. You will rely on the vendor when something breaks, when your business changes or when you need a new report. A great product from a vendor who disappears is a bad deal. Here is what to check before you commit.
Ask about support first
- Who answers when something stops working, and how quickly?
- Is support available in your language and time zone?
- Is support included, or paid separately, and what does it cost?
Test this before buying. Message them with a question and see how they respond.
Ask who owns your data
Your records are your business. Ask plainly:
- Can I export all my data at any time, in a usable format?
- Where is the data stored, and who can see it?
- What happens to my data if I stop using the software?
A vendor who is unclear on these points is a risk.
Ask about backups and recovery
Computers fail and files get deleted. Ask how backups work, how often they run and how long it takes to restore. Better still, ask them to show you a restore.
Ask about customisation
No two businesses work exactly the same way. Ask what can be adapted, how long it takes and what it costs. A vendor who builds modules around your process is more useful than one who gives you a fixed tool and says "that is how it works".
Ask about updates
Rules change, such as tax and invoicing requirements, and your business grows. Ask how updates are delivered, whether they cost extra and how quickly the vendor responds to changes.
Ask for real examples
A good vendor can describe real clients with a similar business. Ask what problem those clients had and what was done. Be cautious of vague answers or promises that sound too good to be true.
Understand the full cost
Compare more than the first price. Ask about training, data import, customisation, support, updates and any yearly charges. A clear written quote avoids surprises.
Trust your own test
Ask for a demo with your own scenarios, such as your own items, your own billing process and your own reports. If the software handles those smoothly, you are looking at a good fit.
We are happy to answer all of these questions about our own software. Contact us and ask anything, or see our products.
